Booking Terms and Conditions.
These Terms and Conditions govern all reservations made with Ely House Hotel (UK) Ltd. By making a reservation, you agree to be bound by the following terms.
1. Reservations and Payment
1.1 All reservations must be secured with a valid debit or credit card at the time of booking.
1.2 Payment terms will vary depending on the rate type, length of stay, and booking category.
2. Flexible Reservations
2.1 Flexible reservations made directly with the hotel may be cancelled without charge up to 24 hours prior to the scheduled arrival date.
2.2 Cancellations made within 24 hours of arrival will incur a cancellation charge equivalent to the first night’s stay.
3. Advance Purchase Reservations
3.1 Reservations made under Advance Purchase rates require full prepayment at the time of booking.
3.2 Such bookings are non-refundable and non-transferable.
3.3 In the event of cancellation or non-arrival, the full booking value will be retained.
4. Group Bookings
4.1 A group booking is defined as any reservation of 4 or more rooms under a single lead name.
4.2 Where a group booking is made 2 or more months prior to arrival, a nonrefundable deposit (25% of the total booking value) is required at the time of booking.
4.3 Where a group booking is made within the same calendar month as the arrival date, full payment is required at the time of booking.
4.4 All deposits are strictly non-refundable, regardless of the reason for cancellation.
4.5 Additional rooms may be added to a group booking at any time, subject to availability, and will be charged at the agreed rate at the time of amendment.
4.6 Any reduction in the number of rooms will be treated as a cancellation, and the
corresponding deposit will be retained.
5. Long Stay Reservations
5.1 A long stay is defined as any reservation of 5 nights or more.
5.2 A non-refundable deposit (25% of the total booking value) is required at the time of booking.
5.3 A minimum of 48 hours’ notice is required in the event of cancellation.
5.4 The deposit remains non-refundable in all circumstances.
6. Cancellations and No-Shows
6.1 Flexible reservations may be cancelled free of charge up to 24 hours prior to arrival.
6.2 Cancellations made after this time will incur a charge equal to the first night’s stay.
6.3 Advance Purchase reservations, group deposits, and long stay deposits are nonrefundable
in all circumstances.
6.4 In the event of a no-show, the guest will be charged the full value of the entire stay. All no-show charges are non-refundable.
7. Amendments and Early Departure
7.1 Should a guest wish to shorten their stay, the hotel must be informed prior to arrival or, at the latest, at check-in.
7.2 Failure to notify the hotel within this timeframe may result in early departure charges, which will be reviewed on a case-by-case basis.
8. Check-In and Check-Out
8.1 Check-in is available from 3:00 PM.
8.2 Check-out is required by 11:00 AM.
8.3 Early check-in and late check-out may be requested in advance but are not guaranteed and may be subject to additional charges.
9. Guest Conduct and Charges
9.1 In accordance with the Health Act (England) 2006, smoking is strictly prohibited throughout the building. A charge of £100 will be applied to the guest’s account
where smoking has occurred in any bedroom or internal area.
9.2 Lost or damaged room keys will incur a replacement charge of £50.
9.3 Guests shall be responsible for any damage caused to hotel property. The hotel reserves the right to charge for the full cost of repair, replacement, or additional cleaning required due to damage, negligence, or misuse.
9.4 The hotel further reserves the right to charge for any items removed from the premises without consent, including any associated carriage or replacement costs.
10. Additional Services
10.1 Extra beds and cots are available in selected rooms only and must be requested in advance. Such services are subject to availability and may incur additional charges.
11. Liability
11.1 Ely House Hotel does not accept responsibility for loss or damage to personal belongings left in guest rooms or vehicles.
11.2 All vehicles are parked at the owner’s risk.
12. Force Majeure
12.1 The hotel shall not be liable for any failure or delay in performing its obligations where such failure or delay results from events beyond its reasonable control. Such events include, but are not limited to, acts of God, natural disasters, fire, flood, severe weather conditions, government action, pandemics, public health emergencies, industrial disputes, civil unrest, or interruption of utilities.
12.3 In such circumstances, the hotel reserves the right to cancel or amend reservations without liability and may, at its discretion, offer alternative dates or credit.
13. Cookies and Data Protection
13.1 Our website uses cookies to enhance user experience, analyse website performance, and improve functionality. Cookies are small data files stored on your device which enable us to recognise repeat visitors and understand how our website is used. You may disable cookies, however this may affect certain features of the website.
13.4 We are committed to protecting your personal information and will not sell, distribute, or lease your personal data to third parties unless we have your permission or are required by law to do so. Personal data collected will be used solely for legitimate business purposes, including processing reservations and improving our services.
14. General
14.1 Ely House Hotel reserves the right to amend these Terms and Conditions at any time. The most up-to-date version will be published on our website.
